The Opportunity

The University of Alberta invites applications for a Generalist, Asset Work Management, a pivotal administration role based in Edmonton, Alberta. As the first point of contact, you will provide crucial support for payroll processes and the management of this information within our Asset Work Management (AiM) system. This hybrid role combines remote work with in-person presence, primarily at the North Campus in Edmonton, ensuring a balanced work environment.

This is a term position with an end date of November 15, 2027, offering a comprehensive benefits package. Responsibilities

In this dynamic role, you will be instrumental in facilitating various administrative and payroll-related tasks. Your responsibilities will include initiating updates to employee records, managing appointments, and processing changes to roles, many of which are now handled by Shared Services. You will also be responsible for ensuring accuracy and compliance in time entries and exception pay.

  • Support and facilitate the submission of exception pay forms.
  • Communicate employee status changes and related pertinent information to appropriate leaders.
  • Initiate updates to employee records, appointments/reappointments, and changes to roles.
  • Key absences into AiM and PeopleSoft HCM.
  • Generate reports and reconcile payroll, submitting corrections when required.
  • Review employee time entries and supporting documentation for accuracy, compliance to policy, collective agreement(s), employment standards, and appropriate authorizations.
  • Enter timecards and adjust in AiM, confirming appropriate submission and proper signatures/authorizations.
  • Research and compile information as requested by HR Partners.
  • Determine accurate exception pay amounts (shift diff, overtime), calculate payout for responsibility pay, reconcile vacation, and provide bank time payout balances to Shared Services.
  • Coordinate and initiate various activities (eForms/ePAFs, speed code change requests, one-time payments, honorariums, off-cycle payments, leave requests, responsibility/acting pay, position information change forms, appointment/re-appointment requests, terminations, etc.).
  • Escalate issues to the Staff Service Centre or assigned HR Partner.
  • Act as the CCID Authorized Approver.

Requirements

To succeed in this Asset Work Management role at the University of Alberta, candidates should possess a strong background in operations maintenance and specific experience with exception pay. We are seeking individuals who can effectively manage their workload and meet critical deadlines within a fast-paced university environment.

  • A Diploma in Business.
  • 5 years in an operations maintenance environment.
  • 1 year of exception pay experience.
  • Work order management experience preferred.
  • Demonstrated ability to manage time and workload effectively and meet deadlines.
  • Strong skills with U of A applications are preferred (Google, PeopleSoft, Bear Tracks, ARISE, Campus Solutions, Alfresco, APS appointment process, etc.).
  • Excellent computer skills including proficiency in use of database, spreadsheet, and word processing software.
