About the Role
WSP is seeking an Executive Assistant to provide high-level strategic and administrative support to two global executives: the Global Head of Ethics, ESG and Compliance, and the Global Director, Earth & Environment. This pivotal role contributes to the smooth operation and impact of WSP’s global programmes.
This position is based at WSP's head office at 1600 René-Lévesque West Boulevard in Montreal and requires an on-site presence of four days per week. You will join a team that values your ideas, expertise, and growth, working on projects that push boundaries and impact communities worldwide.
Key Responsibilities
You will proactively manage calendars, emails, travel arrangements, expenses, and timesheets for two global executives, ensuring their schedules are efficiently maintained. This includes coordinating strategic and operational meetings, handling invitations, logistics, attendance tracking, recordings, and the distribution of deliverables.
A central part of your role involves maintaining a centralised Outlook and Teams calendar for key events such as Board reporting and committee meetings. You will also support the preparation, review, and updating of executive documents and presentations, playing a key role in coordinating annual sustainability reports, CNTP, and other ESG disclosures, including their French versions.
Furthermore, you will support the review, translation, and publication of policies, guidelines, and communications related to ethics and sustainability programmes. You will ensure the publication and updating of content on internal platforms like Canopy, SharePoint, and Teams, as well as external channels. Contributing to operational efficiency, you will manage vendors, purchase orders, invoicing, and financial follow-ups.
What You'll Bring
You will possess over 10 years of professional experience within a large organisation, with at least 5 years specifically as an Executive or Senior Assistant. Excellent written and verbal communication skills in both French and English are essential, particularly within an international context, as is proven bilingualism for document review and translation.
Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, and the broader Office suite is required, with knowledge of SharePoint and an ERP system considered an asset. You will demonstrate a proven ability to manage multiple priorities, meet tight deadlines, and effectively engage with diverse stakeholders.
Strong organisational and planning skills are crucial, alongside a high degree of autonomy in a growing environment. You will consistently exercise a high level of professional judgement and absolute discretion when handling sensitive and confidential information.
Compensation
The salary range for this position in Quebec is $76,900 – $102,100. Please note that the final salary awarded for this role may vary from this range based on several factors, including relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, and business or organisational needs. The wage range provided in this job posting may also be subject to change for business purposes.
