Day-to-day Responsibilities
As an Administrative Team Lead at University Health Network (UHN), you will play a vital role in ensuring the efficient and effective operations of the Department of Radiation Oncology (DRO) Administrative Services, including referral services. Reporting to the DRO Business Manager, you will provide direct supervision and contribute to the development of a high-performing administrative team. Your experience will be key in leading process optimisation efforts and maintaining high standards of patient care.
- Provide direct supervision, enhance staff engagement, and build capacity within the Department of Radiation Oncology (DRO) Referral & Administrative Teams.
- Lead process optimisation by developing and/or maintaining Standard of Work (SOW), policies, and procedures for DRO Referral & Administrative process operations, ensuring they are complete, up-to-date, and communicated.
- Support or lead other DRO or RMP projects and functions, including HR processing, as required.
- Manage all aspects of day-to-day operations in collaboration with other Admin Team Leads and the DRO Business Manager.
- Contribute to staff development through mentoring, coaching, providing direction, and assisting in performance monitoring of team members in a supportive/collaborative learning environment, with the DRO Manager.
- Frequently assess staff performance using a data-driven approach, identify improvement needs, and develop and implement improvement strategies in liaison with the RMP’s management team.
- Liaise with members of the multidisciplinary team to ensure efficient coordination of care/service provision to meet or exceed high standards of practice, quality, and safety.
- Cross-cover for the other Admin Team Lead or DRO Manager, as needed.
- Perform Referral or Administrative duties when required for uninterrupted patient care.
Requirements and Qualifications
To succeed in this Administrative Team Lead role, candidates must demonstrate a strong foundation in administrative support, leadership capabilities, and a commitment to patient-centred care. The ability to manage complex situations and contribute to process improvements is highly valued.
- Completion of Grade XII or recognized equivalent is required.
- Completion of a recognized medical or business post-secondary office administration diploma program or recognized equivalent is required.
- Minimum 3 years related office administration support experience is required.
- Previous supervisory experience is preferred.
- Experience working in a health care environment is an asset.
- Knowledge of medical terminology is an asset.
- Experience and evidence of leading process optimisation or quality improvement activities for a team.
- Exceptional attendance and performance record.
- Demonstrated leadership, motivational, and team building skills are required.
- Shown initiative to consistently go above and beyond to provide patient-centred care.
- Experience with implementing change initiatives.
- Ability to effectively handle confidential matters and materials is required.
- Ability to use good judgment in assessing difficult situations is required.
- Ability to perform duties in a professional and courteous manner and produce high quality work while meeting deadlines in accordance with UHN standards.
- Effective interpersonal and communication skills.
- Highly organised and efficient, with the ability to manage competing demands and efficiently work under pressure is required.
- Knowledge of applicable legislative, UHN, and/or departmental policies.
- Previous on-the-job computer/word-processing, database, and spreadsheet software experience is required. Experience in a Microsoft Office environment is preferred.
- Demonstrated ability to collaborate across multi-disciplinary teams.
- Demonstrated proficiency in a detail-oriented position, reliable, adaptable, able to multi-task, and ability to troubleshoot issues to its resolution.
- Client service oriented, with the ability to effectively work with diversity and appreciate that people with different opinions, backgrounds, and characteristics bring richness to the challenge or situation at hand.

You will be joining the Department of Radiation Oncology (DRO) within the Radiation Medicine Program (RMP) at University Health Network (UHN).
