Position Overview
This temporary full-time Unit Coordination Assistant role supports the Cardiac Cath Lab at Trillium Health Partners' Mississauga Hospital site. The position offers a competitive wage ranging from $25.46 to $31.79 per hour (CUPE A03).
The successful candidate will provide essential clerical support for patient administrative services, information management, and unit reception, ensuring the smooth clerical administration and operation of the unit for up to 12 months. This role requires availability for various shifts, including days, nights, weekdays, weekends, and holidays.
Key Responsibilities
The Unit Coordination Assistant manages patient administrative services, including coordinating patient information, updating demographics, and facilitating communication for effective patient care. This involves navigating patient and family enquiries, escalating concerns, and liaising with internal departments and external partners to book tests, appointments, and transfers. They accurately enter data, notify personnel of patient movements and test results, and respond to patient call bells within their scope.
Information management duties include ensuring patient charts are complete and accurate for Health Records, updating binders, performing audits, and entering data into the Critical Care Information System (CCIS).
Reception responsibilities involve greeting and directing visitors, staff, and patients, performing patient registration, confirming demographic and insurance details, and explaining hospital policies. The assistant answers telephones and intercoms, responding to enquiries or directing them appropriately.
Clerical administration and unit operations include updating department lists, ordering and maintaining office and medical supplies, preparing work order requests for maintenance, contacting environmental services, and processing routine financial transactions. They also liaise with clinical leaders on patient flow, attend unit huddles, complete checklists, and manage mail.
The role also provides scheduling, timekeeping, and payroll support by assisting staff and leadership with system enquiries and liaising with the Workforce Management Office. Epic-specific duties include updating patient demographics, scheduling follow-up care appointments, initiating service task requests, managing patient transport, and supporting others with Epic functionality, including bed management and patient tracking.
Qualifications and Skills
Candidates must possess a high school diploma or equivalent, with additional education or certifications in healthcare administration being an asset. Post-secondary education or coursework in healthcare administration and a medical terminology course are preferred.
Preferred professional experience includes 1-2 years in an administrative role, familiarity with healthcare environments, exposure to patient interactions and interdisciplinary clinical teams, and customer service experience involving patients, families, and healthcare professionals.
Essential skills include proficiency in basic computer applications and Epic, a strong customer service orientation, excellent time management and organisational abilities, and effective verbal and written communication skills. The ideal candidate is a team player, detail-oriented with high accuracy in data entry, and adaptable to a dynamic work environment. They must be equipped to have necessary conversations with patients and families.
