About the Role

This includes receiving cheques and security certificates from clients, issuing receipts, posting to client accounts, and ensuring appropriate document handling, all while maintaining a complete understanding of compliance regulations regarding banking operations.

Key Responsibilities and Compliance

The role also encompasses the timely management of all non-trade functions, ensuring accuracy and strict adherence to industry regulations. This includes processing trade corrections and trailers, handling New Issue tickets and follow-up, and maintaining the branch Trade Error back-up file and Branch House accounts. A significant part of the position involves completing all non-online account management functions, such as shareholder communication information, collection and distribution of account documentation, actioning account closures as per protocol, and processing advisor code changes on client accounts, always ensuring the highest level of accuracy and confidentiality. You will contribute significantly to the efficiency and regulatory requirements of Branch Operations by managing mail distribution, billing, deliveries, couriers, prospect distribution, coordination of building facilities maintenance, and document retention procedures. This also involves cost-effective ordering of branch supplies and the submission and record-keeping of third-party branch expenses. Ensuring a positive visitor experience and a high level of client service is paramount, achieved by co-creating and delivering welcome protocols for the branch and applying them to all client interactions. This includes ensuring all incoming calls are answered, triaged, and any client complaints are immediately relayed to Branch Management. Furthermore, the Associate assists with internal and external meeting bookings, manages meeting requirements, and maintains meeting rooms as per operational standards. A critical aspect of this role is contributing to the quality and efficiency of branch operations and compliance with regulatory and internal guidelines to minimize the Bank’s exposure to risk. This involves complying with regulatory requirements as part of the service process, including Know Your Client (KYC), Canada Deposit Insurance Corporation (CDIC), Financial Consumer Agency of Canada (FCAC), Anti-Money Laundering/Anti-Terrorist Financing (AML/ATF), Privacy, and Occupational Health Safety (OHS) requirements, processes, and guidelines, as well as SSI guidelines/processes.
