We are seeking a dynamic National Sales Coordinator to join our Affinity Sales Team in Waterloo, Ontario. This pivotal role provides essential administrative and sales support, directly contributing to business development goals and sales targets. You will collaborate closely with our team and the advisors we support, making a significant impact on our operations. This is an existing vacancy with a hybrid working arrangement.
Key Responsibilities
You will perform a range of administrative duties, including maintaining the Salesforce CRM for data accuracy, processing invoices, managing expense reporting, and supporting budget tracking. Your tasks will also involve managing the general inbox and phone queue, coordinating new hire onboarding, and handling promotional items and travel logistics for the sales team.
Your sales and marketing support will include building and deploying sales and marketing content, ensuring materials are advisor-ready, compliant, and aligned with national sales priorities, in partnership with Marketing. You will collaborate on targeted email campaigns and national promotional initiatives, manage Continuing Education (CE) credit processes, and track promotional campaigns and advisor engagement. Support for virtual seminars and webinars, and enhancing the Affinity Elite Advisor experience through materials, communications, and program execution are also key.
Reporting and analytics responsibilities include conducting inside sales reporting, managing activity and recognition reports, and distributing sales reports to national sales leadership and wholesalers. You will collaborate with the Business Analytics team on data manipulation and reporting needs, and support tracking of follow-ups, campaign effectiveness, and advisor engagement metrics.
For advisor meetings and events, you will plan, coordinate, and execute logistics. This involves working with wholesalers to build and maintain sales rooms and meeting environments, preparing and distributing marketing materials and presentation content, and assisting with follow-ups, including material distribution, next steps documentation, and post-meeting action coordination. You will also support promotional activities tied to these events.
Team and partner coordination includes representing Affinity in internal and cross-functional meetings, planning team agendas, tracking action items, and supporting deliverable execution. You will partner with wholesalers and internal stakeholders for accountability on initiatives, manage the Wholesaler Effectiveness Survey process, and oversee phone queue management for inside sales support.
What You'll Bring
You possess post-secondary education or equivalent experience. Occasional travel for training, meetings, and events is expected. Proficiency with digital tools such as Word, PowerPoint, Excel, and Salesforce is required. You demonstrate strong verbal and written communication skills and have a knack for building relationships at all levels.
Ideally, you have excellent organizational and time management skills, are detail-oriented with a talent for preparing and analyzing reports, and exercise discretion and tact when handling sensitive information. Experience in financial services is a definite asset. You are capable of working both independently and as part of a team.
Compensation and Benefits
The expected salary range for this role in Waterloo, Ontario, is between $43,875.00 CAD and $73,125.00 CAD. Employees also have the opportunity to participate in incentive programs and earn incentive compensation tied to business and individual performance. The actual salary will vary based on local market conditions, geography, and relevant job-related factors such as knowledge, skills, qualifications, experience, and education/training.
