About the Opportunity
This critical in-person position is located at the North Campus Edmonton within the Department of Physical Therapy. Reporting to the Department Coordinator, the Administrative Assistant is essential for the effective delivery and operation of the Physical Therapy Teaching Clinic. This is a term position for one year plus one day, with the possibility of extension. The role supports various clinic programmes including student clinics, new graduate clinics, and others.
Your Responsibilities
You will manage patient and family member inquiries via email and phone, schedule appointments for various clinicians and programmes, and handle referrals and clinic waitlists. Your duties include patient registration, coordinating materials for group classes, collecting treatment fees, processing third-party billing, and issuing receipts. You will liaise with the Department Coordinator for deposits and maintain accurate financial records. The role involves coordinating system access for students and clinicians, ensuring scheduling meets placement requirements, and responding to requests for chart copies from patients, insurers, and healthcare providers. You will also coordinate WCB and MVA report requests, communicate with medical offices for patient care documents, and collaborate on tracking clinic supplies and equipment. Additionally, you will arrange periodic clinic cleaning, maintain patient and clinic files, support emergency preparedness, assist with space bookings for programming, and facilitate remote service delivery via Zoom. You will actively participate in policies and procedures for a safe and affirming practice environment, support access to clinic spaces, and build positive relationships with patients, students, and co-workers. You will assist with student orientation on clinic systems, support special teaching clinic projects, and contribute to generating reports and updating clinic policies. Regular meetings with clinic leadership and the department coordinator are part of this role, along with participation in departmental service activities like staff meetings and strategic planning.
What You'll Bring
Candidates must possess a Medical Office Assistant Diploma or an equivalent qualification. At least one year of work experience in a private physical therapy clinic is preferred, or experience within a physician's office. You will demonstrate excellent organisation and interpersonal skills, along with proficiency in Microsoft Office Suite, Google Docs/Sheets/Forms, and electronic scheduling and documentation software. Attention to detail, accuracy, tact, and the ability to maintain confidentiality are essential. Knowledge of University of Alberta procedures and processes would be considered an asset.
