Position Summary

This vital role supports Mine Maintenance at our Albian Oil Sands operations, contributing to departmental goals and overall site targets. As an Administrative Assistant, you will ensure a consistent and timely flow of information between various teams within a fluid work environment. Your strong time management skills and initiative will be key to your success in this role, helping to manage critical administrative tasks that support our people and operations.
Day-to-day Responsibilities
This role involves a variety of essential administrative and record-keeping duties, ensuring smooth operations and accurate data management for our Mine Maintenance team. Your daily tasks will include:
- Enter and manage hourly employee timesheets in Oracle Time & Labor (OTL) within Oracle Cloud HCM, ensuring timesheets are submitted to General Foremen for approval and balanced each pay period.
- Enter 4Cs from technician timecards into Maximo work orders and maintain related workforce and progression records, including organization chart updates and communications.
- Collect and record safety meeting attendance and Hazard ID submissions, maintaining incident logs, Maximo records, weekly review spreadsheets, and annual tracking.
- Manage the overtime tracker and distribute weekly overtime selection lists.
- Track and maintain employee vacation, disability leave, and absence records, ensuring spreadsheets remain accurate and up to date.
- Monitor upcoming employee progressions and support workforce planning by maintaining current organizational and staffing information.
What You'll Bring

- High school diploma or GED.
- Office Administration diploma is considered an asset.
- 10+ years of experience in an office environment; priority will be given to candidates with a background in oil and gas.
- Proficient in Outlook, Excel, Word, PowerPoint, and Maximo.
- Exposure to and familiarity with entering time in time entry applications and systems, ensuring accuracy and timely processing.
- Excellent verbal and written communication skills are required to compose letters, documents, and emails on behalf of the manager.
