Position Overview
The Alberta School of Business at the University of Alberta is seeking community-minded thinkers to deliver excellent student service. The Academic Program Advisor is a pivotal role that shapes the undergraduate student experience, often serving as the initial point of contact for Bachelor of Commerce students. This position guides students through the complexities of their academic programs and the university environment, supporting their overall success. The Academic Program Advisor acts as a key communicator, policy navigator, student champion, and program advocate. This hybrid role combines remote work with in-person duties at North Campus, Edmonton, Alberta. Key Responsibilities
In this role, you will collaborate across the unit, School, and University to foster student success. You will advise continuing undergraduate Business students on University and Faculty policies and procedures, providing accurate information to assist them in making informed academic program decisions. A core responsibility involves resolving student academic issues by applying interpretive judgement of University and Faculty regulations in both standard and non-standard situations, ensuring fair and equitable treatment for all students. You will participate in situational leadership within the academic advising team, assessing situations to identify and refer at-risk students as appropriate. The role also includes evaluating applicants for program admission, determining eligibility and transfer credit, and reviewing academic standing each term to approve or deny applications for graduation. You will exercise full signing authority to grant or deny deferred examination requests, evaluating each case based on established faculty policies and standards. Close collaboration with Campus Saint-Jean is essential to meet the needs of students in the Bilingual Bachelor of Commerce program. You will serve as the administrative contact between the Peter Lougheed Leadership College, School of Business, and other Faculties involved with certificate programs, balancing stakeholder academic needs with Faculty policies. Additionally, you will work with the Program Coordinator to build, update, and maintain the Academic Advisement module in PeopleSoft, supporting the training of internal staff members. Promoting Bachelor of Commerce programs through recruitment activities, such as Open House, and student orientation programs, including the Dean’s Welcome and Orientation, is also part of this position. You will contribute to the overall effective operation of the Undergraduate Program Office, fostering a cooperative office atmosphere, and create helpful communications, including videos, for students. Support for the Manager, Undergraduate Office, will be provided as needed.
Qualifications and Skills
Candidates must have completed a minimum of post-secondary education. A minimum of two years of directly related student advising experience at a post-secondary institution is required, with University of Alberta student services experience considered a valuable asset. The ability to perform effectively under pressure, manage high volumes of work, and meet deadlines without compromising quality or accuracy is essential. You should be adept at working both independently and as part of an integrated team. Demonstrated superior customer service and interpersonal skills, including tact, initiative, and a positive attitude, are crucial. Excellent organizational, communication—both verbal and written—intercultural, and problem-solving skills are also necessary. The ability to exercise independent judgment and handle difficult or complex situations with diplomacy and sensitivity is expected, along with a demonstrated ability to maintain confidentiality when working with highly sensitive information. Excellent computer knowledge, particularly with Microsoft Excel, is required, while experience with PeopleSoft, Alfresco, and SLATE is an asset. Knowledge and experience using social media platforms are also mandatory. An undergraduate degree is preferred, though equivalent combinations of education and experience will be considered. Training in responding to students at risk, such as Mental Health First Aid, QPR, ASIST, or Working Mind, is considered an asset. Knowledge of Faculty and University of Alberta regulations, policies, and procedures is preferred, and proficiency in French is an additional asset.
