This position works independently under the direction of the Manager, Koerner Library, and the general supervision of the Public Service Supervisor, collaborating with other Koerner Library Assistants and Librarians. The successful candidate will work a Tuesday to Saturday schedule. The compensation range for this ongoing position is $4,594.00 to $4,827.00 CAD monthly.
The Public Service and Collections Maintenance Assistant oversees and maintains the daily operation of the Sorting/Book Bin and Stacks areas of Koerner Library, coordinating workflow and delegating duties within the unit. This role involves assisting with determining staffing requirements, as well as interviewing, hiring, training, scheduling, monitoring, and evaluating the performance of student assistants, resolving any performance issues. The incumbent examines, evaluates, and processes worn and damaged library materials, identifying items for rebinding, performing item maintenance, or referring unrecoverable materials to the appropriate librarian. They arrange bindery shipments, update online location information, and maintain bindery processing statistics. Additional duties include processing new and Great Reads books, as well as discharging, sorting, and preparing items for shelving in the Sorting/Book Bin area, including re-barcoding and re-placing spine labels when necessary. Administrative support is provided through compiling and reviewing statistics on collection maintenance and project workflows, creating work forms and schedules, and assisting the Manager, Koerner Library, in approving student hours.
The role performs a full range of circulation duties, such as charging, discharging, and renewing materials, tracing missing items, clearing the hold shelf, and processing payments for library fines. They assist in resolving complex questions and prioritise advanced reference questions to librarians or other resources. Patrons are instructed on how to navigate the Library website, search the catalogue, interpret records, renew items, place hold requests, and order items through interlibrary loan services. The Assistant actively participates in developing and implementing projects, policies, and work methods, advising Koerner staff on collection maintenance procedures. They are responsible for issuing and renewing library cards, verifying applicant eligibility, and addressing patron record issues. Assistance is provided to disabled users, couriers, and Building Operations personnel, with reference statistics recorded in the current data tracking tool. The role manages Planon requests and supports Koerner Library events by managing bookings, registration, room and equipment set-up, troubleshooting, and catering arrangements. They also create, update, and maintain physical signage in library spaces, coordinating with relevant departments.
Patrons are assisted with using the library’s physical and electronic collections, including microform and audio-visual equipment. The Assistant operates the Information & Circulation Desk cash register and credit/debit machine, processes payments, and answers general queries about invoices. Basic directional, information, reference, and reception services are provided in person, by telephone, and email, covering general library policies and procedures. Assistance is given to patrons with copier/printer/scanners, Pay for Print, and public workstations, ensuring equipment is maintained. Security systems and building alarms are monitored, and the Assistant responds to library problems and emergencies, dealing with security gate activations, incidents, and contacting appropriate services like Building Operations, Patrol, RCMP, or 911 when required. They function as the evening and weekend point of contact for circulation system assistance, providing basic diagnosis and troubleshooting. The role also helps ensure the accuracy and placement of physical signage, maintains cleanliness and organisation of public and staff spaces, and performs opening and closing duties for Koerner Library. Participation in Library operational working groups or committees may also be required.
Candidates should possess High School graduation, complemented by a two-year Library Technician diploma and a minimum of three years of related experience, or an equivalent combination of education and experience. A willingness to respect diverse perspectives and a demonstrated commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion are essential. Preferred qualifications include a strong knowledge of library circulation systems, library policies and procedures, and loan regulations, consistent with a large, complex, multi-disciplinary research institution. The ability to interpret and apply library policies and regulations in a consistent, knowledgeable, and responsive manner is required. Experience with library systems and software applications, including word processing, spreadsheets, and databases at an advanced level, is preferred, with specific experience in Voyager and Microsoft Office being advantageous.
Demonstrated experience in hiring, training, scheduling, and supervision is also highly valued. The successful candidate will exhibit effective oral and written communication, interpersonal, organisational, and presentation skills, alongside excellent public service abilities. The capacity to prioritise work, multitask effectively under pressure and with interruptions, and consistently meet deadlines while maintaining a high degree of accuracy and attention to detail is crucial. The role also requires the ability to exercise tact and discretion, work both independently and collaboratively within a team environment, and operate the normal range of library and office equipment. Finally, candidates must be able to work a five-day week, including evenings and weekends.
