The successful candidate will be responsible for ensuring all vouchers and payments to external entities are meticulously accurate, appropriately supported, duly authorized, and correctly recorded to the general ledger within the relevant fiscal year. This position acts as a vital liaison between campus departments and suppliers, resolving invoicing problems and ensuring all processes align with university policies, procedures, collective agreements, and applicable legislation. The framework governing accounts payable is strictly administered to enable accurate transmission of data to the general ledger, ensuring records are easily retrievable by all university stakeholders and auditors, thereby mitigating financial risk.
As a Payment Services Administrator, your responsibilities will span comprehensive transaction processing and financial oversight. This includes executing accurate data entry for supplier invoices, Payment Requests, and Non-Employee Reimbursements using SupplyNet and PeopleSoft Financials. You will reconcile AP transactions to the General Ledger (GL), process necessary correction or adjustment vouchers, and monitor outstanding invoices, troubleshooting issues related to closed speed codes, pending receipts, and approval bottlenecks. Facilitating the issuance of online vendor payments and managing complex international wire transfers for foreign vendors are also key aspects of this role. Furthermore, you will manage the end-to-end lifecycle of vendor records in PeopleSoft, ensuring seamless synchronization between PeopleSoft Financials and SupplyNet, and process vendor refund cheques to clear credit balances. The role also supports critical fiscal activities such as AP pay cycle runs, withholding tax reporting, and the issuance of income tax slips, while administering paper and electronic records in strict alignment with university document retention protocols. Collaboration with Finance Procurement and Planning and the Shared Services Staff Centre is essential to streamline workflows and provide professional responses to payment inquiries, contributing to a cohesive community approach.
To excel in this Payment Services Administrator role, candidates must possess a High School Diploma supplemented by formal post-secondary training in Business, Accounting, or Financial Administration, coupled with 1–3 years of progressive experience in high-volume, complex financial environments. Proficiency in Accounting and ERP Systems such as PeopleSoft Financials, SupplyNet, and query/reporting tools for data analysis is essential. Advanced knowledge of MS Office (Excel, Word), Adobe Acrobat Pro, and Google Workspace, along with accurate, high-speed keyboarding skills, are also required.
