The Facilities Manager oversees the daily operations and maintenance of over 150 VC rooms, 175 non-VC rooms, and other shared academic learning spaces across university and clinical sites province-wide. This involves monitoring space conditions, initiating improvements, and collaborating with UBC Building Operations and Health Authority Facility Managers on reactive and preventative maintenance. The role ensures facility security by working with relevant authorities, manages building access, and supervises external trades and contractors for repairs and services. The manager also facilitates the transition of new academic learning spaces, arranging orientations and training for booking systems.
A significant part of the role involves project management, including planning and executing renovations and maintenance projects. This entails coordinating user requirements, assembling specifications and cost estimates, monitoring budgets, and liaising with contractors and stakeholders. The Facilities Manager attends site meetings to track project progress and leads the annual Space and Technology Renewal Needs Assessment process to develop the Faculty’s learning spaces renewal pipeline. Furthermore, the role contributes to policy and procedure development by maintaining knowledge of UBC and Health Authority guidelines, identifying recurring issues, and developing standardized processes. This includes developing booking policies and agreements for academic learning spaces and participating in safety and security policy implementation.
Administrative and communication duties involve building strategic networks with University and Health Authority stakeholders for integrated space use. The manager cultivates relationships with space users and operations providers, resolving property, security, and access issues. They also take a leadership role in communicating events impacting academic functions. Financial responsibilities include preparing and managing budgets, payments, and purchase orders, and monitoring operating expenses. Finally, the Facilities Manager is responsible for ensuring the safety of all learning spaces by working with UBC and Health Authority Safety and Risk Services teams to meet all health and safety requirements.
Candidates should possess an undergraduate degree in a relevant discipline along with a minimum of four years of related experience, or an equivalent combination of education and experience. A willingness to respect diverse perspectives and a commitment to enhancing one's own awareness, knowledge, and skills related to equity, diversity, and inclusion are essential.
Preferred qualifications include experience in project coordination, space planning, and facilities management. Experience using ARCHIBUS and CAD programs is considered an asset. Prior experience working within a university and/or healthcare sector is highly preferred. The successful candidate must demonstrate excellent computer skills, strong verbal and written communication abilities, exceptional organizational skills, and proven conflict resolution capabilities. The ability to manage multiple projects simultaneously, work effectively under pressure to meet deadlines, build and maintain business relationships, and exercise tact, diplomacy, and discretion is also crucial for this role.
