Key Duties
As a Coordinator, Commercial Management, you will play a crucial role within the GO&UP Operations Commercial Management group at Metrolinx. Your responsibilities will involve assisting with the commercial oversight of a diverse portfolio of partners and vendors, ensuring smooth operations and informed decision-making for Metrolinx's extensive transit network.
- Managing day-to-day activities and administration for the Operations Commercial Management leadership team to meet established objectives, preparing detailed and timely reports for approval.
- Coordinating collection and confirming client requirements to advise Vendor Management staff of issues.
- Preparing and reviewing complex documents for verification of Budget, Executive Summary, Contract Documents (Change Orders/Change Notices, Statements of Work, Work Orders, Internal Purchase Order), in order to help inform decisions.
- Coordinating and implementing large scale Oracle transactions to accommodate errors or redistribution of cost centres, account/location codes.
- Providing Purchase Order Closeout support and verification to the Procurement and Finance departments.
- Verifying that all required documentation is complete prior to Purchase Order requisition.
- Providing weekly/monthly review of Vendor Commercial Scorecards to communicate status of vendor and contract performance.
- Providing monthly reporting to illustrate Invoice Aging, and Spend report by Vendor.
- Attending regularly scheduled meetings and preparing accurate meeting minutes.
- Providing coordination and administrative support for internal governance, cross-functional business planning and decision management process by gathering internal stakeholder inputs.
- Assisting the Operations Commercial leadership team with tracking approvals, escalations, and outstanding commercial matters to support effective oversight and informed decision-making.

To succeed in this Coordinator, Commercial Management role, you will bring a blend of administrative expertise, strong organisational skills, and a keen understanding of commercial processes. Your ability to manage complex documentation and coordinate across departments will be key to supporting Metrolinx's operational goals.
- Completion of a certificate in Business Administration, Project Management, or a related field – or a combination of education, training and experience deemed equivalent.
- Demonstrated years of relevant experience.
- Experience working for an owner/public sector agency involving large-scale infrastructure/transit projects would be considered an asset.
- Experience identifying problems, making recommendations, and implementing solutions.
- Strong focus on understanding and following process.
- Strong written communication skills, as well as collaboration skills to work across various departments and with different levels of the organization.
- Strong organizational and time-management skills.
- Knowledge of one or more of the following is considered an asset: competence in software such as Microsoft Office, PowerPoint, and Oracle E-Business Suite.
