As the Academic Department Manager, you will serve as the senior executive for the Department of Medicine, reporting to the Faculty General Manager. In collaboration with the Department Chair, you will be accountable for designing, implementing, and managing efficient and effective administrative systems and structures across the department's 14 divisions. The department is an academic medicine area with multidisciplinary focus in research, teaching, and patient care. The complexity of this role is highlighted by its multiple contractual reporting stakeholders, including the University, Alberta Health, and Alberta Health Services. You will also oversee the implementation and administrative management of the Academic Medicine & Health Services Program (AMHSP), a province-wide contracted programme involving the University of Alberta, the University of Calgary, Primary and Preventative Health Services, and AHS Medical Affairs.
Your Responsibilities
You will lead strategic planning and implementation for the Department of Medicine, ensuring critical finances, physical space, and teaching facilities are enhanced. This includes leading strategic and change management initiatives impacting administrative service delivery. You will provide leadership to the DoM Manager, Business Operations (MBO - Finance/HR), overseeing the management and administration of operating and research budgets, and providing regular updates to the Chair and Faculty General Manager.
Furthermore, you will provide strategic leadership in human resources administration for the department’s academic faculty, administrative staff, and learners. In collaboration with the Service Partner (HR), you will advise and support the Academic Department Chair, leaders, and area supervisors on human resource issues such as hiring, performance management, and employee/labour relations. You will lead the implementation of the Faculty of Medicine & Dentistry Strategic Plan related to department administrative activities and support the Chair in developing and implementing the Departmental strategic plan. Your knowledge of University of Alberta, AMHSP, and AHS policies and procedures, along with U of A - AASUA and U of A NASA Collective bargaining agreements, will be crucial in providing advice to DoM leadership and supervisors, ensuring accurate and timely information for effective decision-making.
You will maintain and develop positive, productive, and transparent relationships with the Academic Department Chair, Faculty General Manager, Faculty Office, and ADM colleagues. Building productive relationships with service partners, partner organisations, stakeholders, and client groups is also key. This role requires demonstrating inclusivity, actively seeking alternative viewpoints, mediating conflicts, and removing barriers to engagement. You will provide strategic leadership and oversight in the administration of medical education, research, communications, events, and facilities. This encompasses the delivery of all DoM educational programmes for undergraduate, postgraduate, and graduate programmes, stewardship of fellowship programmes, and monitoring learner statistics for strategic planning. You will oversee the DoM Research & Graduate Education office, supporting researchers with grant applications, ethics approvals, and large multi-centre grant management. Additionally, you will oversee the Division Administration Team Lead and facilities team regarding space allocation, furniture, equipment, and risk management systems, developing proposals for new space and renovations, and coordinating with University Services, Operations + Finance, Space Planning, and FoMD Facility Planning & Projects Offices. Finally, you will develop internal DoM communications and events for networking, information sharing, and fund development.
What You'll Bring
A Bachelor’s Degree is required, with a Business background recommended, and a Graduate degree is preferred. You should possess 7 to 10 years of management or supervisory experience, preferably within a university or large unionised environment. Significant experience in strategic planning, project management, human resources, and financial analysis is essential.
You will demonstrate excellent written and oral communication skills, strong organisational, interpersonal, and critical thinking abilities. The capacity to interact with and provide advice and support to all organisational levels is vital, alongside strong facilitation, negotiation, and problem-solving skills. Excellent tact and professionalism are necessary to facilitate negotiation, conflict resolution, and handle highly confidential matters. You must be able to meet deadlines and prioritise work effectively. Proficiency in Google, Email, Internet, and PeopleSoft applications is expected. Experience or familiarity with the Academic Medicine & Health Services Program (AMHSP) is preferred.

This position offers a comprehensive benefits package and an annual salary ranging from $90,648 to $151,077.
